04 · Automation

Automate once manual handling becomes the bottleneck.

Automika does not automate for the sake of automation. Automation comes after the website and the enquiry flow are right, and only where manual handling is costing you work or time.

When it's worth it

Four signals that manual handling has become the bottleneck.

If none of these is true yet, you don't need automation. You need more enquiries, and that is a website and search job first.

Signal 01

Missed calls

Calls go to voicemail while you're on site or on another job, and some of those callers ring the next business on the list.

Signal 02

Slow follow-up

Enquiries sit for a day or more before anyone replies, and the ones that do get a reply get a different one each time.

Signal 03

Repeated manual qualification

You ask every enquiry the same five questions by phone or email before you know whether it's a job you want.

Signal 04

Copy-paste between systems

Details get typed from the inbox into a spreadsheet, then into a CRM, then into a calendar, and something gets lost on the way.

What we automate

The steps between an enquiry arriving and a job being won.

Every automation plugs into the enquiry flow the website already creates: each enquiry arrives with its source page, project type and contact preference, which is what makes qualification and follow-up possible.

Enquiry flow

Lead qualification and follow-up

Enquiries are sorted by project type, location and budget as they arrive, using the same questions a qualification tool on the website asks. The right ones get an immediate, consistent reply and a booking link; the rest get a polite, useful answer without taking your time.

Product

Missed-call capture

Captures the calls you can't answer, follows the caller up automatically and gets their details to you. £499 per month, no contracts.

Phone

Voice AI phone answering

A voice AI line that answers when nobody can, takes the caller's details and what they need, and passes a qualified message on. Used where it helps; never presented as the business.

Systems

CRM workflows

Enquiries, bookings and follow-ups land in the CRM you already use, with source and project type attached, so nothing is retyped and nothing is lost.

Back office

Internal automation

The repetitive steps behind the scenes: reminders, reporting, moving data between a form, a sheet, a calendar and an inbox. Built with the tools you already have, such as Google Sheets and Cal.com.

How we do it

One bottleneck at a time.

Automation that does too much too early creates a new kind of manual work: fixing it. We automate the one step that is costing you most, prove it, then extend. The person you speak to is the person who builds it. About the founder →

Straight answers

Automation: the facts.

Automika is a UK digital development studio. Automation is the fourth of its four capabilities, added after websites, search and custom tools, and only when manual handling is the bottleneck.

Should I automate first?

Almost never. If the website is not winning enquiries, automating the handling of enquiries automates an empty pipeline. Get the website and enquiry flow right, measure for a few weeks, then automate the step that is visibly costing you work or time. We set out the reasoning in why websites lose enquiries after launch.

Do you use AI?

Where it helps: voice answering, qualification and drafting consistent follow-up are good examples. It is never the headline. The job is to answer the phone, qualify the enquiry and follow up quickly; AI is one of the ways that gets done, and a human is always reachable.

What does automation cost?

Missed-call capture is £499 per month with no contracts. Other automation is scoped and quoted as a fixed price after a build call, within Automika's usual range: focused work from around £1,500, larger builds with custom tools to £15,000 and above. Pricing sets out what sits at each end of that range.
